Catering guide · 2026 Wedding catering checklist for the UAE

Quick answer

Check first whether your venue allows outside catering. Then agree a realistic guest number (per hall if you have separate halls), list every event if the wedding runs over several days, choose dishes that hold well on a buffet, and get a written quote that shows staff, setup, VAT and the deadline for final numbers.

Start with the venue's rules

Before you talk to any caterer, ask your venue whether outside catering is allowed. Many hotels in the UAE only allow their own kitchens, and some venues charge a fee for outside caterers or require them to use the venue's equipment. Halls, community venues, gardens and family homes usually give you more freedom.

Guest numbers, realistically

Weddings in the UAE are often large, and the number who arrive can be very different from the invitation list. Ask both families for their realistic number, plan for children separately (under 10s count as about half for food), and agree with the caterer how late you can change the final number.

Separate halls, separate plans

If your celebration has separate men's and women's halls, or separate family and guest areas, give the caterer a headcount for each, and decide whether each hall gets its own buffet, its own serving time and its own staff. Food quantities and timings are planned per hall, not just for the total.

More than one event?

Many weddings in the UAE run over several days: a henna or mehndi night, a nikah, a reception, a family lunch. List every event, with its date, venue, headcount and style, so the caterer can quote them together and plan the menus so they don't repeat.

The menu

  • Choose dishes that hold well on a buffet for the length of your dinner service.
  • Plan a vegetarian main, a milder option for children and older guests, and clear labels for allergens.
  • Think about the timeline: welcome drinks and bites while guests arrive, the main meal, then dessert and tea or coffee.
  • Ask about a tasting and whether it is included in the price.

Service style

Most UAE weddings serve a buffet, sometimes with live stations as a centrepiece. Plated service suits smaller, formal weddings. For several hundred guests, plan more than one buffet line or serving point so no one waits long. See catering styles compared.

Timing on the night

Weddings rarely run to schedule. Agree a serving window rather than a fixed minute, tell the caterer who decides when dinner starts, and make sure food can be held safely if the programme runs late.

Questions to ask before you book

  1. Is the price per person, and what does it include: food, staff, equipment, setup, clean-up, delivery?
  2. Is VAT included?
  3. How many serving staff, and for how many hours?
  4. When is the deadline for final numbers, and what does it cost to add guests after it?
  5. How will food be kept hot or cold, and for how long?
  6. What happens to leftovers?
  7. What are the deposit, payment and cancellation terms?

When to book

Book the caterer once the venue and date are confirmed, ideally a few months ahead for large weddings, and earlier still for the cooler months from October to April, which are the busiest wedding season. Confirm final numbers about a week before.

Once your venue and date are confirmed, ideally a few months ahead for a large wedding, and earlier for the busy season from October to April. Confirm final numbers about a week before.

How much food per guest for a wedding?

For a buffet dinner, plan about 150 g of rice, 175 g of meat, chicken or fish across all main dishes, 100 g of vegetable dishes, a salad, bread and a dessert per adult guest, plus welcome bites if guests arrive well before dinner.

How do I plan catering for separate halls?

Give the caterer a headcount for each hall and decide whether each gets its own buffet, serving time and staff. Quantities and timings are planned per hall.
